There are more than one purposes. Below, you will find a list of those purposes, followed by a more detailed explanation. The respective purposes are also linked to relevant legal bases for data processing.

Newsletter – detailed information

When you subscribe for the newsletter, you provide us with your name and e-mail address. Providing this information is voluntary, but it is necessary in order to subscribe for the newsletter.

Also, the system we use to operate the newsletter records the IP address that you used to subscribe for the newsletter, determines your approximate location and the electronic mail operator you use, and tracks your activity with respect to the messages you receive. Accordingly, we also have information about which messages you open and in which messages you click the links provided.

The data you provide when you subscribe for the newsletter are used for the purpose of sending the newsletter to you and the legal basis for the processing is your consent (Article 6(1)(a) of the GDPR), which you give when subscribing for the newsletter. As concerns the processing of information that does not come from you but is automatically collected by our mailing system, the reason to do this is our legitimate interest (Article 6(1)(f) of the GDPR), which involves analysing the behaviour of newsletter subscribers for the purpose of optimising mailing activity.

You can unsubscribe from the newsletter at any time by clicking a dedicated link that is included in every newsletter message sent to you or by contacting us. Even if you unsubscribe from the newsletter, your data will still be stored in our database for the purpose of identification of recurrent subscribers and in the event of any claims concerning us sending the newsletter to you, in particular to be able to prove that you consented to receive the newsletter and when you withdrew your consent, which constitutes our legitimate interest as referred to in Article 6(1)(f) of the GDPR.

You can modify your data that you provided when subscribing for the newsletter at any time by clicking a dedicated link that is included in every newsletter message sent to you or by contacting us.

Correspondence management – detailed information

By contacting us, you naturally provide us with the personal data included in the correspondence, in particular your e-mail address, name and surname. Providing these data is voluntary, but it is necessary in order to contact us.

In this case, your data is processed for the purpose of contacting you and the basis for processing is Article 691)(f) of the GDPR, which is our legitimate interest. The legal basis for the processing of data after the contact has ended is also our legitimate interest, which is to archive correspondence in order to be able to prove certain facts in the future (Article 6(1)(f) of the GDPR).

The content of correspondence may be stored and we cannot determine when exactly it will be deleted. You have the right to request us to provide you with a history of your correspondence with us (provided it was archived) as well as to request to remove it, unless our legitimate interests, such as defending against your potential claims, justifies its storage.

Tax and accounting obligations – detailed information

If we issue an invoice to you it will be stored in our accounting records for the period of time required by law. In such case, your personal data will be processed for the purpose of fulfilment of our tax and accounting obligations (Article 6(1)(c) of the GDPR in association with legal regulations governing tax and accounting obligations).

Archives – detailed information

Descriptions of the above purposes of personal data processing include the periods for which the data are stored for the respective purposes. These periods frequently involve archiving specific data in order for us to be able to prove certain facts in the future, reconstruct the history of collaboration and correspondence with a client or to defend, determine or pursue claims. This constitutes our legitimate interest as referred to in Article 6(1)(f) of the GDPR.

Self-marketing – detailed information

Our website may collect information about your activity and use that information for targeted advertising while you browse the Internet. If, however, you are not a registered user, the information used for that purpose is not personal data. That information becomes personal data only when it is identified as your personal data in your user account.

The above activities constitute our legitimate interest as referred to in Article 6(1)(f) of the GDPR, which is self-marketing of our own products.

Analysis, statistics, optimisation – detailed information

We collect statistical information about user behaviour when users visit our websites, such as the links they click, how they switch between subpages, how much time they spend on respective websites, etc. We analyse this information in order to optimise our websites in terms of user experience, efficiency and conversion.

The above activities constitute our legitimate interest as referred to in Article 6(1)(f) of the GDPR, which is optimisation of our websites.

Data storage periods differ depending on the purpose of data processing. You will find relevant information in the descriptions of the respective purposes of data processing.

It is reasonable to believe that contemporary business relies on outsourced services. We also outsource some services. Some of those services involve the processing of your personal data. The outsourced companies involved in the processing of your personal data include:

  • the host who stores data on the server,
  • provider of the computing cloud service, where backup copies that may contain your personal data are stored,
  • provider of the mailing system where your data are stored, if you are a subscriber of our newsletter,
  • provider of the invoicing system where your data are stored, for the purpose of issuing invoices to you,
  • the accounting office that processes your data revealed in invoices,
  • courier companies that process your data as required to deliver your orders,
  • legal offices that receive access to data, if this is needed to provide us with legal services,
  • technical service providers that receive access to data, if technical services involve areas where personal data are stored,
  • other service providers that receive access to data on as-needed basis.

Your personal data may also be forwarded to tax offices as may be required to comply with tax and accounting obligations. This concerns, in particular, all kinds of declarations, reports and other accounting documents that contain your personal data.

Also, if need be, your personal data may be disclosed to operators, authorities or institutions that are authorised by law to have access to data, for example the police, security services, courts, prosecutor’s offices.

Moreover, we use tools that collect various kinds of information about you related to your use of our website. This includes, in particular, the following information:

In our judgment, such information in itself is not personal data. Since the information is collected by the external tools that we use, it is also processed by the providers of those tools in accordance with their own terms and conditions and privacy policies. In general, the information is used to provide and improve services, to manage services, to develop services, to measure advertising efficiency, to provide protection against fraud and misuse, and to personalise the content and advertisements displayed on websites and in applications. We will try to explain this in detail in the subsequent part of this Policy, when describing the respective tools.

# 9: Do we forward your personal data to third countries or international organisations?

Yes, some operations of the processing of your personal data may involve transfer of data to third countries.

We transfer your personal data to third countries in connection with the tools we use that store personal data on servers located in third countries, in particular in the USA. The providers of those tools ensure an adequate level of data protection through relevant compliance mechanisms contemplated in the GDPR, in particular through the Privacy Shield program or standard contractual clauses.

Personal data are stored on servers located in third countries in connection with the following tools:

  • the MailChimp mailing system provided by the Rocket Science Group LLC, 675 Ponce de Leon Ave NE, Suite 5000, Atlanta, GA 30308, USA – your name, e-mail address, IP address and statistical information about your reactions to the messages we send,
  • Google services in the G-Suite package provided by Google Ireland Limited, Gordon House, Barrow Street, Dublin 4, Ireland – all the data processed for Google services, including data included in files that are synchronised with Google Drive.

Both Rocket Science Group LLC and Google Ireland Limited ensure an adequate level of personal data protection through compliance mechanisms contemplated in the GDPR, in particular through the Privacy Shield program. The links below provide confirmation of membership in the Privacy Shield program and information on personal data processing by the respective providers.

We would also like to remind you that we use external tools that may collect anonymised information about you. We mention this fact several times in this Policy, for example in our answer to the previous question. The providers of those tools frequently store information on servers located across the world, in particular in the USA.

# 10: Do we use profiling? Do we make automated decisions based on your personal data?

We do not make any decisions involving you solely on the basis of automated processing, including profiling, that could have legal or other important consequences for you.

Indeed, we use tools that can take specific actions depending on the information collected by tracking mechanisms, but we believe those actions do not affect you in any significant way, because they do not change your situation as a client or the terms of a contract that you may execute with us, etc.

By using certain tools we may, for example, send personalised advertisements to you depending on your behaviour on our website or suggest products that may be interesting to you. Please note that the tools we use do not give us access to information that would identify you. Such information includes, in particular:

  • your approximate location (only the town),
  • your interests based on your Internet activity.

We do not connect the information listed above with your personal data in our databases. This information is anonymised and cannot be traced back to you. This information is stored on the servers of the providers of respective tools and these servers may be located across the world.

The GDPR gives you the following potential rights related to the processing of your personal data:

  • right to access and obtain a copy of your personal data,
  • right to rectification (correction) of data,
  • right to erasure of data (if you believe that the processing of your personal data is groundless, you can ask us to erase them),
  • right to restriction of processing (you may ask us to restrict the processing of data to their storage or to activities specifically discussed with you, if, in your opinion, we have wrong data or process your data unduly),
  • right to object to the processing of data (you have the right to object to the processing of your data on the basis of a legitimate interest; you must identify the specific situation that, in your opinion, justifies your request to cease the processing that you object to; we will cease processing your data for such purpose unless we prove that the bases for such processing are superior to your rights or that your data are necessary for us to determine, make or defend claims),
  • right to data portability (you have the right to receive from us the data you have provided to us pursuant to an agreement or your consent in a structured, commonly used and machine-readable format; you may order us to send such data directly to another controller),

Our website, the same as most other website, uses cookies.

Google Analytics – detailed information

We use the Google Analytics tool provided by Google LLC, 1600 Amphitheatre Parkway, Mountain View, CA 94043, USA. We do this on the basis of our legitimate interest, which is to create and analyse statistics in order to optimise our websites.

In order to use Google Analytics, we have implemented the special Google Analytics tracking code. The tracking code uses Google LLC cookies connected to the Google Analytics service. You can disable the Google Analytics tracking code at any time by installing this web browser add-in provided by Google: https://tools.google.com/dlpage/gaoptout.

Google Analytics automatically collects information about your use of our website. This information is in most cases forwarded to and stored on Google servers that can be located across the world.

Because we have activated the IP address anonymisation function, your IP address is abbreviated before being forwarded. In special cases, a full IP address is forwarded to Google servers and abbreviated there. The anonymised IP address provided by your web browser to Google Analytics is not combined with other Google data.

We would like to emphasise the fact that we do not collect any data that could be traced back to you through Google Analytics. Accordingly, the data collected through Google Analytics are not personal data. The information that we can access through Google Analytics includes, in particular:

  • information on the operating system and web browser that you use,
  • the sub-pages you visit within our website,
  • the time you spend on our website and on respective subpages,
  • how you switch between respective subpages,
  • the source from which you access our website.

We also use the following Advertising Functions through Google Analytics:

  • demographic and interest reports,
  • remarketing,
  • advertising reporting functions, user ID.

We do not collect personal data through Advertising Functions. The information that we can access include, in particular:

Google Analytics and Google Analytics 360 services have the independent security standard certificate ISO 27001. ISO 27001 is a globally recognised standard and it confirms compliance of Google Analytics and Google Analytics 360 systems with relevant requirements.

Google Tag Manager – detailed information

We use the Google Tag Manager tool provided by Google LLC, 1600 Amphitheatre Parkway, Mountain View, CA 94043, USA to manage tags, which are small code sections

that enable us to control user traffic an behaviour, collect information on advertising

efficacy and improve our website. Google Tag Manager

does not collect any information that could be traced back to you, but it activates other tags that may collect data.

Google AdWords – detailed information

We use remarketing functions available in the Google AdWords system operated by Google LLC, 1600 Amphitheatre Parkway, Mountain View, CA 94043, USA. We do this on the basis of our legitimate interest, which is the marketing of our own products or services.  

When you visit your website, a Google remarketing cookie file is automatically left on your device. That file collects information about your activity on our website. With this information, we are able to tailor the advertisements that you see in the Google network to your behaviour on our website. For example, if you check a product, the remarketing cookie file will record this fact, which means that we will send you advertisements of this product or any other advertisements that we will think proper. You will see these advertisements in the Google network when you browse the Internet and visit other websites, etc.

We would like to emphasise the fact that we do not collect any data that could be traced back to you through Google Ads. If Google connects data in such a way as to make them personal data, it is beyond our control and responsibility, because it is subject to your consent to the terms and conditions of using Google services. 

By using Google AdWords, we are only able to define the user groups that we want to reach with our advertisements. On this basis Google decides when and how to present our advertisements to you.

Any subsequent processing of information is subject to your consent for Google to connect your browsing history to your account and to use information from your Google account to personalise the advertisements displayed on websites. In such case, Google uses your data to create and define a list of target groups for remarketing purposes on various devices. For this purpose Google connects temporarily collected information with other data in order to create target groups.

Facebook Custom Audiences – detailed information

We use the Non-Standard Target Audiences function of the Facebook Ads system provided by Facebook Inc., 1601 S. California Ave., Palo Alto, CA 94304, USA in order to send targeted advertisements to specific audiences. We do this on the basis of our legitimate interest, which is the marketing of our own products or services.

In order to send you advertisements that are personalised on the basis of your behaviour on our website, we have implemented Pixel Facebook, which automatically collects information about your use of our website. Information collected through Pixel Facebook is in most cases forwarded to and stored on Facebook servers that can be located across the world, and in particular in the USA.

Information collected through Pixel Facebook is anonymous and cannot be traced back to you. Depending on your activity on our websites, you may be classified under a specific audience group, but we do not in any way identify the members of respective groups.

We would like to note, however, that Facebook may connect the information collected in this way with other information about you collected when you use Facebook, and use it for their own purposes, including for marketing. Social tools – detailed information

Our website uses plug-ins, buttons and other social tools, hereinafter jointly referred to as “plug-ins”, provided by social networking sites, such as Facebook, Instagram, LinkedIN, Twitter, Pinterest.

If you open our website that has a plug-in to a specific social networking site, your web browser will send information to that site’s administrator about your visit. Because plug-ins are a part of the social networking sites built into our website, the web browser sends information about the request to download the content of a given social networking site to our website.

Plug-ins collect certain information about you, such as your user ID, the website you visit and the date and time of visit, and other information about the web browser.

Social networking site administrators use some of such information to personalise the terms and conditions of visiting our website. For example, if you visit a website with the “I like it” button, the social networking website administrator needs information about who you are in order to show you which of your friends also like our website.

Information collected by plug-ins may also be used by social networking website administrators for their own purposes, such as improving their own products, creating user profiles, analysis and optimisation of their activities or targeted advertising. We do not have any real impact on how the information collected by plug-ins is used by social networking website administrators. Social networking website plug-ins collect information and forward it to website administrators even if you are not logged into any social network while visiting our website. However, in the latter case, the web browser sends a more limited set of information.

If you are logged into one of the social networking websites, its administrator will be able to directly link your visit on our our website to your profile in that social network.

If you do not want social networking websites to link the data collected when you visit our website directly to your profile in a given social network, you must log out of that network before visiting our website. You can also entirely disable the plug-ins on the website by using relevant add-ins in your web browser, e.g. script blockers.

Moreover, the use of some plug-ins may cause publication of specific information on your social network profiles. For example, information about clicking the “I like it” button may be available on your Facebook timeline. Naturally, if you share any content in your social media using the plug-ins embedded on our website, the shared content will be displayed on your profile.

YouTube – detailed information

Our website has YouTube widgets that enable you to watch videos available on the YouTube platform directly from our website. The YouTube platform is operated by Google LLC.

Videos are embedded on the website in the privacy protection mode. Based on information provided by YouTube, this means that no cookies are recorded on your device and that Google does not collect any information about you, unless you open a video.

If you watch a video, YouTube stores cookies on your device and receives information that you opened a video from a specific website, even if you do not have a Google account or are not logged in at the moment. If you are logged into your Google account, Google will be able to directly link your visit on our our website to your account. The purpose and scope of collecting data and the processing and use of data by Google as well as contact details and your relevant rights and the settings that may ensure your privacy are described in Google privacy policies. 

If you do not want Google to link data collected when watching a video directly to your profile, you must log out of your account before opening a video. You can also entirely disable the plug-ins on the website by using relevant add-ins in your web browser, e.g. script blockers.

Information collected through cookies in relation to YouTube videos embedded on our website are used by Google to ensure proper and secure operation of the widget, to analyse and optimise YouTube services and for personalised advertising.
